This Privacy Policy describes how Unit Rate AI (“we,” “us,” or “our”) collects, uses, and protects information when you use our website and services (the “Service”). We are committed to keeping your information private and being transparent about our practices.

Depending on how you use the Service, we may collect:

• Account information such as your name, email address, and authentication credentials.
• Profile and business information you choose to provide, including company details, workers' compensation settings, overhead and fee defaults, trade and service selections, MasterFormat metadata, and uploaded company logos.
• Customer and project data you enter, including contact details, optional ratings, proposal content, change order content, scope of work, payment terms, and saved proposal and change order email templates.
• Unit rates, labor and material pricing, pricing breakdowns, and version history in your library.
• Proposal templates you save, including linked line items and markup settings.
• Proposal and change order submission and response data when you send proposals or change orders for online review, including send dates, validity periods, and customer approval or rejection responses.
• Address information you enter or select through address lookup features.
• Basic profile information from Google or Facebook if you choose social sign-in.
• Signup and marketing attribution data such as referral source, UTM campaign parameters, and the landing page you first visited before creating an account.
• AI feature usage data, including monthly credit consumption and the types of AI-assisted features you use.
• Usage and technical data such as device type, browser, IP address, and log data needed to secure and operate the Service.
• On our public marketing site (www.unitrate.ai), usage and analytics data such as pages viewed, referral source, and approximate location derived from IP address, collected through analytics tools described in Section 12.
• Communications you send us through contact forms or support requests.

If you enter information about your customers or other third parties, you control that data and choose when to share it (for example, by sending a proposal or change order). We process it only to provide CRM, proposal, change order, and related features for your account.

We use information to:

• Provide, operate, and maintain the Service.
• Authenticate users and protect accounts, including social sign-in.
• Store and display your profile, customer CRM data, logos, and uploaded content.
• Create, save, and apply proposal templates and default payment terms.
• Send proposals and change orders by email, host online review links, and record customer responses.
• Update project totals and proposal records when a change order is accepted.
• Calculate in-app customer analytics and unit-rate pricing guidance from your proposal history.
• Produce aggregated, anonymized pricing trends (such as average unit rates by area or trade) that do not identify individual contractors or their specific rates.
• Power AI-assisted drafting, recommendations, summaries, and competitiveness insights.
• Send transactional emails such as proposal and change order notifications and account messages.
• Respond to contact form submissions and support requests.
• Process subscriptions and payments through our payment provider.
• Understand how users discover the Service through signup attribution.
• Monitor performance, troubleshoot issues, and improve reliability and security.
• Comply with legal obligations and enforce our Terms of Service.

When you use AI-assisted features, we send relevant portions of your account and project data to our AI provider so the Service can generate drafts, recommendations, or summaries for you. Depending on the feature, this may include your company name, state, selected trades or services, project names, scope notes, line item descriptions, quantities, units, pricing context, and similar business information needed to produce a useful result.

AI outputs are generated for your account only. We do not use your individual unit rates, labor rates, customer records, or proposal or change order content to train public models on your behalf, and we do not sell AI prompts or outputs to third parties for their marketing. Your pricing inputs are not shared with other contractors.

AI features are subject to monthly usage limits shared across all plans. We track credit consumption to enforce those limits and improve Service reliability.

We do not sell your personal information.

We do not share your personal information with third parties for their own advertising or marketing purposes.

We may disclose information only in the limited circumstances below or when you direct us to (for example, when you send a proposal to your client).

Your unit rate library, labor rates, customer CRM records, proposal templates, payment terms, proposal content, and change order content are treated as confidential business data tied to your account. Any pricing you generate with AI or enter manually remains private to you.

• We do not share, publish, sell, or disclose your individual unit rates or labor rates to other contractors or users.
• We do not make your line-item pricing, payment terms, proposal content, or change order content available to other contractors or to the public.
• Access to your account data is restricted by authentication and application security controls.

When you send a proposal or change order to a client, you control what is shared with that recipient through the review link or email you initiate. That sharing is at your direction, not a sale or disclosure of your data for third-party marketing.

We may use aggregated and anonymized information derived from unit rates, labor rates, and proposal outcomes — for example, average unit rates for a geographic area, trade, or MasterFormat division, or competitiveness ranges used in pricing guidance — to build internal reference features, show market trends, and improve the Service.

This use is limited to statistical summaries that cannot reasonably identify you, your company, or your specific rates. Individual unit rates and pricing inputs are never shared among contractors. We may show you area or market averages, but never another contractor's specific pricing.

We use trusted service providers to help operate the Service, including Supabase (hosting and database), Stripe (payments and subscriptions), Resend (transactional email), xAI (AI-assisted drafting and recommendations), Google (sign-in and address lookup), Photon/Komoot (open address suggestions), Google Analytics (website usage analytics on our public marketing site), Vercel Analytics (performance and usage analytics on our public marketing site), and Apollo.io (website visitor analytics on our public marketing site). Where enabled, Facebook may also provide social sign-in. These providers process data on our behalf under contractual obligations to protect it and use it only to provide services to us, except where you interact with them directly (for example, when you sign in with Google or manage billing in Stripe).

When you use address autocomplete, the text you type may be sent to Google or Photon to return suggestions. When you use AI-assisted features, relevant prompt content is sent to xAI to generate a response. We use the address you save in your profile or customer records; we do not use address lookups for unrelated marketing.

We retain information for as long as your account is active or as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce agreements. You may request deletion of your account by contacting us; some information may be retained where required by law or legitimate business needs such as security logs.

We use reasonable administrative, technical, and organizational measures designed to protect information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Depending on where you live, you may have rights to access, correct, delete, or export personal information, or to object to or restrict certain processing. To make a request, contact us through our contact page. We may need to verify your identity before responding.

We use cookies and similar technologies as needed for authentication, session management, security, signup attribution, and basic site functionality, including OAuth sign-in flows. We do not use cookies to sell your personal information.

On our public marketing site at www.unitrate.ai, we also use analytics cookies and similar technologies through Google Analytics, Vercel Analytics, and Apollo.io to understand how visitors find and use our marketing pages. These tools may collect information such as pages viewed, referral source, device and browser type, and approximate location derived from IP address. Analytics are enabled on the public marketing site only; they are not used on localhost or staging environments. You can limit analytics cookies through your browser settings or, where available, opt-out tools offered by the analytics providers.

The Service is intended for business users and is not directed to children under 18. We do not knowingly collect personal information from children.

We may update this Privacy Policy from time to time. If we make material changes, we will post the updated policy and revise the “Last updated” date. Continued use of the Service after changes become effective constitutes acceptance of the revised policy.
