Privacy Policy
Last updated: August 8, 2026
1. Overview
This Privacy Policy describes how UnitRate.ai (“we,” “us,” or “our”) collects, uses, and protects information when you use our website and services (the “Service”). We are committed to keeping your information private and being transparent about our practices.
2. Information we collect
Depending on how you use the Service, we may collect:
- Account information such as your name, email address, and authentication credentials.
- Profile and business information you choose to provide.
- Customer and project data you enter, including contact details and proposal content.
- Bid items, unit rates, labor and material pricing, and version history in your library.
- Usage and technical data such as device type, browser, IP address, and log data needed to secure and operate the Service.
- Communications you send us through contact forms or support requests.
3. How we use information
We use information to:
- Provide, operate, and maintain the Service.
- Authenticate users and protect accounts.
- Send transactional emails such as proposal notifications and account messages.
- Respond to contact form submissions and support requests.
- Monitor performance, troubleshoot issues, and improve reliability and security.
- Comply with legal obligations and enforce our Terms of Service.
4. We do not sell or share your information for marketing
We do not sell your personal information.
We do not share your personal information with third parties for their own advertising or marketing purposes.
We may disclose information only in the limited circumstances below or when you direct us to (for example, when you send a proposal to your client).
5. Your bid items and proposal data
Your bid item library, unit rates, and proposal content are treated as confidential business data tied to your account.
- We do not share, publish, sell, or disclose your individual bid items to other users.
- We do not make your line-item pricing or proposal content available to the public.
- Access to your account data is restricted by authentication and application security controls.
When you send a proposal to a client, you control what is shared with that recipient through the proposal link or email you initiate. That sharing is at your direction, not a sale or disclosure of your data for third-party marketing.
6. Aggregated and anonymized use
We may use aggregated and anonymized information derived from bid items — for example, average unit rates by geographic area, trade, or MasterFormat division — to build internal reference features and improve the Service.
This use is limited to statistical summaries that cannot reasonably identify you, your company, or your specific bid items. Individual bid items are never shared.
7. Service providers
We use trusted service providers to help operate the Service, such as cloud hosting, database providers, and email delivery services. These providers process data on our behalf under contractual obligations to protect it and use it only to provide services to us.
8. Data retention
We retain information for as long as your account is active or as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce agreements. You may request deletion of your account by contacting us; some information may be retained where required by law or legitimate business needs such as security logs.
9. Security
We use reasonable administrative, technical, and organizational measures designed to protect information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
10. Your choices and rights
Depending on where you live, you may have rights to access, correct, delete, or export personal information, or to object to or restrict certain processing. To make a request, contact us through our contact page. We may need to verify your identity before responding.
11. Cookies and similar technologies
We use cookies and similar technologies as needed for authentication, session management, security, and basic site functionality. We do not use cookies to sell your personal information.
12. Children
The Service is intended for business users and is not directed to children under 18. We do not knowingly collect personal information from children.
13. Changes to this policy
We may update this Privacy Policy from time to time. If we make material changes, we will post the updated policy and revise the “Last updated” date. Continued use of the Service after changes become effective constitutes acceptance of the revised policy.
